USEFUL TIPS FOR SUCCESSFUL EVENTS PLANNING
So you have an event coming up soon, as the day draws nearer, there is the tendency that your heart beats faster, because everything must go according to plans, and every detail must be followed o the letter.
Hey, let's face it; you're not Superman so Event Planning can turn even the most capable person into a basket of nerves. But if you have been selected to plan your corporation's next award banquet, or you are in charge of your cousin's wedding coming up in a few months, or you are saddled with the responsibility of organizing a show that will bring a Big entertainer to town, relax, take a chill pill. Here are a few healthy tips that can make the process successful and give you a smooth ride.
CONSIDERATIONS
to begin with, you need to think of what you want your event to look like. What kind of event is coming up? What will the guest list look like? what is the reason for the occasion? Please keep in mind that your events should generate goodwill and enthusiasm about your corporation (if it's a company event), or about your family (if it's a family event).
PLANNING
you have defined the fundamental parameters, now it's time to go ahead with Planning..
-Make a checklist - you need a checklist to provide a step by step guide to organizing a special event
-Work on your budget - you need a financial blueprint for your event. Your budget should be specific and should detail both Income and Expenditure; Revenue opportunities might include ticket sales, or sponsorships. Expenditure includes food supply and security, printing, insurance, speakers etc. You need to keep track of all income and expenditure. Extra expenses will sure come up, so plan ahead.
-Facility Check - the Location of your event is critical for its success. Also consider the hall capacity, then are you planning an indoor or outdoor event? Will you need a podium, special gadgets and equipments, and how many tables and chairs for your expected guests, and what will the arrangement be like?
-Get a Compere/Entertainer - when looking at a speaker, entertainer, or facilitator for your event, you need to find out who the agent or manager of the Speaker is. Does he appeal to a broad audience, or he is not so popular, but certain to deliver on the job based on his track records? Does the speaker entertainer have the required swagger and finesse to relate with and move the audience? You can't bring an entertainer who cracks campus jokes to a meeting of top level business executive.
- Plenty of Food and Drinks - what kind of food are you planning to serve? Dinner, Buffet, Snacks, Lunch? What kind of drinks will be available, will they be served in a can, goblet, punch bowl, or are we going chapman style? Whatever it is, make sure you have it in abundance.
- Plan Publicity and Marketing - these are great tools to having a successful event.
